Getting started
- Introduction to Workflow SuiteWorkflow Suite automates your Shopify store: a visual editor with triggers, conditions, Shopify actions, HTTP requests, email, files and code steps.
- Build your first workflowCreate a workflow from a blank canvas: choose a trigger, add a condition and an action, test it as a preview, save it and turn it on.
- Start from a templateMore than 140 ready-made workflows for orders, inventory, customers, files and reports. Create one, finish its setup notes, test it and turn it on.
- How a workflow runs: triggers, steps and runsFrom the event to the finished run: trigger filters, loop protection, plan usage, steps, waits, run statuses and the limits of one run.
- Test, preview and debugTest a workflow as a preview that changes nothing, test one step, or step through a run with breakpoints in the debugger.
Triggers
- Choosing a triggerThe kinds of triggers in Workflow Suite, how fast and how reliable each one is, the badges in the trigger picker and how to change a trigger.
- Shopify eventsStart a workflow on any Shopify event: orders, products, inventory, customers, fulfillment, returns, discounts, subscriptions, markets and more.
- Change triggers with before and after valuesStart a workflow when one field changes: tags added, price changed, status changed, back in stock. The event carries the value before and after.
- Metafield and metaobject triggersStart a workflow when a metafield you choose is set, changed or removed, or when a metaobject entry is created, updated or deleted.
- SchedulesStart a workflow every few minutes, every hour, daily or weekly, in your store's time zone, with presets or your own cron expression.
- Incoming webhooksLet an ERP, a form or any other system start a workflow with a POST request to a secret URL, and read its body, query and headers in your steps.
- Manual runs and workflows started by another workflowRun a workflow by hand with Run now, or split work across workflows with the Started by another workflow trigger and the Start another workflow step.
- Start a workflow from Shopify FlowUse the Shopify Flow action Run a Workflow Suite workflow to start one of your workflows from any Flow trigger, with data from the Flow workflow.
- Storefront behaviour triggersStart workflows from what shoppers do: product views, searches, cart changes and checkout errors. Best effort, and only with the visitor's consent.
- Abandoned checkout and left without purchaseWaiting triggers start a workflow when something did not happen in time: a checkout left behind, or a store visit that ended without a purchase.
- Trigger filtersOnly start a workflow for the events you care about. Events a trigger filter rejects start nothing and do not count against your plan.
Steps
- ConditionsSplit a workflow with rules: one path when they match, another when they do not. Compare event fields, step results, variables and changes.
- Repeat for eachRepeat steps once for every item of a list, such as the line items of an order or the results of a Shopify query, with clear limits and error handling.
- Wait, Log and Fail the runPause a run for minutes, hours or days, write your own notes into the run history, and end a run as failed when a check does not hold.
- Ready-made Shopify actionsTag, update, publish, cancel, fulfil and more with simple forms: the ready-made Shopify actions of Workflow Suite and the fields they take.
- Every Shopify mutation and queryPick any mutation or query of the Shopify Admin API from a searchable list, with its docs link, arguments, needed permissions and API version.
- HTTP requestCall any API or webhook URL from a workflow: method, headers, JSON body with Liquid, secrets for keys, and how later steps read the response.
- Send email and email sendersSend emails from a workflow through your own SMTP sender: set up a sender, write the email with Liquid, add attachments, and know the sending limits.
- Slack, Discord and Teams messagesPost a message to a Slack, Discord or Microsoft Teams channel from a workflow, through the channel's webhook URL kept in a secret.
- Run code and functionsRun your own JavaScript in a workflow step: code in the step or a saved function, with Input, secrets, store data, storage and the key-value store.
- Liquid script stepRead your store with the shopify filter and change it with action tags, all in one Liquid script step. Syntax, options, output and limits.
- Key-value store and StorageRemember values between runs: counters, flags with an expiry and the time of the last sync in the key-value store, larger JSON documents in Storage.
- Files, SFTP and downloadsExchange files with SFTP, FTP and FTPS servers, download files from https links, and read, write and attach files from the app's Files store.
- Send events to Shopify FlowThe Send to Shopify Flow action starts the Shopify Flow workflows that use the trigger Workflow Suite event, with an event name and data of your choice.
Variables and Liquid
- Variables and the variable pickerRead the event, earlier step results, loop items, secrets and your own workflow variables in any field, and pick them instead of typing paths.
- Liquid in every fieldEvery text field of every step is a Liquid template: outputs, filters, if and for, dates and maths, and the json filter for valid JSON.
- SecretsStore API keys, tokens, passwords and webhook URLs once, encrypted, and use them in any step or function without ever showing them in the run history.
Reliability
- Automatic retriesSteps that fail for a temporary reason are tried again automatically, but only when repeating them cannot apply a change twice. How it works per step.
- Loop protectionWhat Workflow Suite does to keep workflows from triggering themselves in circles, what it cannot know, and how to build workflows that do not loop.
- Run history and troubleshootingSee every workflow run with each step's result, error and tries, and work through the common reasons a workflow does not start or a step fails.
- Alerts by email and text messageGet told when a workflow run fails, a workflow is turned off or your plan's runs are used up: by email on every plan, by text message on paid plans.
- Versions, restore and newer versions of actionsEvery save of a workflow is a version you can restore. And when an action or trigger gets a newer version, the editor tells you and upgrades on request.
Recipes
- Recipe: tag high-value ordersAdd a tag to every new order above an amount, so your team can spot and prioritize it. A two-step workflow from the template gallery.
- Recipe: low stock alert to SlackPost a Slack message when the available quantity of an item at a location drops to your threshold, and add the product name with a query step.
- Recipe: back in stock, publish againHide products that are sold out and bring them back when stock returns: two templates that work as a pair, using the back in stock change trigger.
- Recipe: abandoned checkout follow-upEmail a buyer who left a checkout behind, with the items and the link back to their checkout, through your own sender and with marketing consent.
- Recipe: send new orders to an ERPPost a summary of every new order to your ERP or any API with a bearer token: secrets for URL and token, a JSON body with the json filter, retries.
- Recipe: nightly cleanup with Repeat for eachArchive paid and fulfilled orders every night: a schedule, a Shopify query, a Repeat for each and a log line. The pattern for every scheduled cleanup.
- Recipe: email a daily file from SFTPEvery morning, save a file from your SFTP server into Files and email it to your team as an attachment. Secrets for the login, a variable for the address.
- Recipe: let another system set stock by SKUAn ERP or warehouse sends a SKU and a quantity to a secret URL; the workflow finds the variant and sets its available quantity. With a clear failure.
Account
- Permissions and store data accessGrant only the store data your workflows need, revoke it any time, and understand Shopify's protected customer data approval for order triggers.
- Plans, runs and extra runsWhat a run is, what counts against your plan and what is free, the four plans with their limits, and paid extra runs at $0.0015 per run on Starter and Grow with a cap you set.
- Data, privacy and hostingWhere Workflow Suite is hosted, which sub-processors are involved, what is stored and how it is protected, plus the Privacy Policy and the DPA.
Developers
- Developer API and MCPAPI keys with read, write and execute levels, the REST API by area with examples for creating, simulating and running workflows, and the MCP server.
- Build workflows with an AI assistant over MCPConnect Claude, Cursor, VS Code and other AI clients to Workflow Suite's MCP server and let them draft, validate, simulate and monitor workflows.
Tutorials
- Tutorial: tag high-value orders and tell SlackStep by step: start from the Tag high-value orders template, raise the amount, add a Slack message, test it with a preview and turn the workflow on.
- Tutorial: react to a price drop with a before-and-after ruleBuild a workflow from a blank canvas that starts only when a variant's price went down, and posts the old and the new price to Slack.
- Tutorial: let another system set stock through an incoming webhookGive your ERP or warehouse a secret URL. Every POST with a SKU and a quantity looks the variant up and sets its stock. With the curl command to try it from a terminal.
- Tutorial: debug a workflow step by stepRun a workflow one step at a time in the editor: start a debug session, step, read what each step returned, use Test this step on one step, and stop.
- Tutorial: your first code stepAdd a Run function step with JavaScript written in the step, build an order summary from the event, test the code for real, and use its result in the next step.
